Job Vacancy – Defence Section Office Manager
The Australian Embassy in Amman is seeking an energetic, pro-active and service-focussed person to manage the Embassy’s Defence Section office, to commence as soon as possible.
Duties:
• Manage the Defence Section financial and physical resources. Supervise two other staff.
• Overall preparation and ongoing management of the Defence Section annual budget.
• Maintain continuous awareness of all relevant Australian Defence Organisation (ADO) and Department of Foreign Affairs policies and guidelines and ensure all Defence Section activity is conducted in accordance with those policies.
• Maintain existing and develop new operating procedures governing all Defence Section operations.
• Maintain close liaison with other Departments within the Australian Embassy Amman, other relevant Australian Embassies, Australian and local authorities, and other external agencies with regards to administration and operation of the Defence Section.
• Receipt, scrutinise and arrange payment of all invoices.
• Supervise the provision of domestic and international travel (including passports and visas) for the Defence Section in accordance with ADO policies.
• Management of Defence registry operations in compliance with established procedures, including regular filing, disposal and archival action as required.
• Assist the Defence Attache to manage the joint training program between Australia and Jordan, and other accredited countries.
• Assist the Defence Attache to manage all Defence visits and delegations to Jordan.
• Other duties as specified by the Defence Attaché.
Selection Criteria:
Essential:
1. Demonstrated ability to interpret and apply legislative and administrative policy and guidelines in order to manage financial, human and physical resources.
2. Demonstrated ability to organise complex activities involving multiple agencies in a limited time frame.
3. A professional standard of written and spoken English with the proven ability to provide concise and clear verbal and written reports in a timely manner.
4. Demonstrated excellent interpersonal skills and ability to lead and manage a small team.
5. Demonstrated ability to use initiative and work flexibly and autonomously with little supervision in an equal opportunity, multi-cultural and high-tempo workplace.
Desirable:
1. A professional standard of written and spoken Arabic, with the proven ability to provide concise and clear verbal and written reports in a timely manner.
2. Knowledge of the Australian Defence Force and the role of a Defence Attaché.
3. Eligible for an Australian Government security clearance.
Selection will be based on an interview and a series of short exercises.
Salary will be based on skills and experience. All new staff are employed on a fixed term contract basis, and will be initially engaged for a three month probationary period.
